JOB DESCRIPTION
Responsibilities:
- Provides a complete secretarial and administrative service to Director to facilitate function processes and allows them to concentrate on mainstream activities.
- Observes confidentially procedures and registers and track accountable documentation to ensure security and control, prepare confidential/sensitive documents and brief the Director.
- Screens incoming correspondence and reports, make preliminary assessment of the importance of materials and organize documents, handle some matters personally and forward appropriate materials to the Director.
- Receives and screens telephone calls, letters, and/or visitors, answers routine questions and furnishes information as necessary to ensure availability of data and efficiency of services.
- Communicates Director instruction or desire to various individuals and/or functions/departments, and furnishes and obtains information from other Director/Head of Department.
- Updates Director on status of issues (before scheduled meetings) and prepare all the necessary documents.
- Prepares agenda and collects materials for meetings, speeches, and conferences, take minutes and keep records of proceedings.
- Provides a time management/diary service for the Director to ensure ability to attend all key meetings/appointments/conferences at the scheduled times.
- Prepares routine letters, reports, memorandums for Director signature, gathers and summarizes data in order to ensure availability of data.
- Updates and submits report to Director on the Division KPIs and circulates it to HODs on monthly basis.
- Establishes and maintains records and filing system, replenishes stationeries and arrangement for the efficient operation of office equipments to ensure the Managers can function effectively and efficiently.
- Makes travel arrangements in a time-effective ways including itineraries/venues, ensuring most effective use of Director time.
- Arranges both in-house and external events for Office/Division level.
- Monitors budget expenses for Office/Division and alerts the Director on over utilized budget by Department Level.
Requirements:
- Minimum of a Diploma or its equivalent in relevant fields, and in possession of relevant professional qualifications fulfilling the regulatory requirements.
- 3 - 5 years of relevant experience in related industries.
- Strong knowledge of secretarial and administrative procedures.
- Must have the ability to maintain confidentiality of information at all times.
- Proven excellent communication skills, written and verbal.
- Excellent in determine work priorities.
- Strong knowledge of Microsoft Office and database.
